Using shared on-line calendars we can help you make the most efficient use of your time.  We’ll co-ordinate and arrange meetings, include preparation and travel time and add notes and key e-mails to your appointments* so you’ll have all the information you need.

Researching travel options and planning a business trip can take up time you could productively use elsewhere. We can coordinate and book all your travel arrangements for you. Liaising with your chosen travel operators or using trusted sites such as booking.com, Trip Advisor and Skyscanner amongst others, we can research and arrange your hotels, restaurants, flights and other travel tickets, putting together itineraries including journey times, car parking etc if required.

Whether you’re looking to host an office open day, a company anniversary party or a roadshow of events, we can help. From sending out invitations, reminders and directions, coordinating responses, liaising with the venue and caterers, preparing name badges, table plans, arranging gifts, plaques, equipment, awards, tours, speakers etc. We will ensure your event is memorable for all the right reasons.

We work as a knowledgeable member of your team and as such can field enquiries until they reach a point where you need to get involved. This can take the role of a PA or customer service, answering initial enquiries about your service or products, completing paperwork for suppliers or sending out marketing information that forms part of your sales process.

About us

Bay Tree VA is a team of over 10 virtual PAs, executive assistants and book keepers based in East Anglia.  We have a broad range of skills and a wealth of experience.  We work mostly with SME owners, but our service is also ideal for consultants, project managers and home-based professionals who need support that flexes with their workload.  Our involvement enables clients to delegate tasks so they can focus on what’s important to the success of their business.

So does virtual mean you work remotely?

Much of our work is done remotely from our home offices in East Anglia, but by no means all of it. We’re happy to meet clients to say compile a To Do list that we can work through or report back on previous tasks which have been actioned .  We can also accompany clients to meetings and assist at conferences and events.

How does it work?

We use cloud software so that we can securely share documentation between us e.g. using Dropbox or Google Drive.    Equally, if preferred, we can use VPN connections so that we can securely access your own shared systems.  NB: VPNs are usually set up with the help of your IT support so that relevant permissions and access can be granted.  With regard to e-mail, we can be assigned an e-mail address to use and will create an  e-signature so that we follow your corporate style and blend into your team.

Our costs are broken down into small six-minute units. This means that if a task only requires 24 minutes, then that’s all you’ll pay for.

Spend safely

We can work to a capped amount to make it easy for you to plan your expenditure. If you get near your agreed cap, we’ll let you know and prioritise workload.
